FAQ for candidates/employees

Validato AG is a Swiss company specialised in the validation of candidates and employees. Depending on the assignment of the prospective or current employer, Validato AG checks certain aspects (e.g. financial integrity, potential conflicts of interest) and verifies information provided by the candidate (e.g. professional experience, education).

There are several reasons for this. Validating the information provided strengthens trust and contributes to a correct and fair application process. Employers may also be obliged to validate candidates and their information due to legal or contractual requirements.

An employer is regularly required by law or contract to re-validate certain aspects (e.g. financial integrity, check in relation to possible criminal proceedings, etc.).

A validation requires a signed declaration of consent, a copy of the ID or passport, a completed electronic self-declaration and, if applicable, a current curriculum vitae. Depending on the type of validation, copies of certificates and diplomas may also be required.

Without a signed declaration of consent from the candidate/employee, Validato Ltd. is not entitled to check the information provided. It is mandatory that it is available. For the collection of certain documents (e.g. for the confirmation of residence, the extract from the criminal record or the extract from the debt collection register), the declaration of consent must be submitted to the responsible office.

In principle, the employer defines the scope of the validation. The depth and scope of a validation depends on the function. If a candidate/employee does not wish to have information provided validated for comprehensible reasons, or if no contact should be made, he/she can record this accordingly in the electronic self-declaration. This will be noted accordingly in the validation report and may lead to enquiries by the employer.

Validato AG is certified according to the ISO 27001 standard. This guarantees the highest level of care in how your data is handled and worked with. We also keep the exchange of data as minimal as possible and comply with Swiss and (where applicable) EU data protection regulations.

The data will be stored securely for a maximum of 120 days after completion of the validation. After that, they are deleted. For statistical purposes, a few anonymised data are stored, but these do not allow any conclusions to be drawn about you.

Unfortunately, this is not possible. The validation refers to a specific function and is basically a snapshot. Furthermore, the validation report was only created for the commissioning employer. A new validation would have to be commissioned for another position with another employer at the appropriate time.

We provide the validation report exclusively to the employer in electronic form. Therefore, if you have any questions regarding access to the validation report, please contact the employer.

FAQs for companies

A clearly structured validation creates trust between the company and the candidate in the application process. Furthermore, a validation helps to ensure that the application process and the validation of the hard facts are carried out in a consistent, fair, professional and complete manner. If a candidate wants to gain an advantage by misinforming or concealing information, there is a chance that this will be uncovered at an early stage. This can minimise potential reputational and personnel risks. A comprehensive validation with the appropriate expertise requires 5 to 10 working hours per dossier, depending on the depth. We do this every day and have access to the appropriate tools and databases. We can relieve your company of the burden of validating the hard facts. This allows you to fully focus on the other aspects of the application process.

Ideally, you inform the candidate about the validation by Validato Ltd. This way, the candidate is already informed when he or she is contacted by us. If you would like to outsource the information and briefing of the candidate or if there are a large number of people to be validated, we can also do this for your company. In this case, our experts will contact the candidates in advance.

To start a validation, we need a signed declaration of consent from the candidate and a current CV. You can download the declaration of consent form from our digital platform. Ideally, the signed declaration of consent form is available when the order is placed and is uploaded in the protected customer area on the digital platform of Validato Ltd. Otherwise, we can also obtain it directly from the candidate. We can only start processing the data and the validation once we have a signed declaration of consent.

The current version of the declaration of consent can be found in the protected customer area on the digital platform of Validato AG. You must be registered to download the declaration of consent form. Please ensure that you are using the latest version of the declaration of consent form.

Through our digital platform, you can transparently follow the progress and status of the validation and have insight around the clock. You will see the first results within a few hours. A standard validation takes 3 to 5 working days. All information obtained is available on our digital platform at any time during the validation and for 120 days thereafter.

In principle, we focus on candidates currently living in the DACH region (Germany, Switzerland, Austria). However, we can also cover other domiciles if required. Please contact us briefly to discuss this. With regard to previous employers, educational institutions, etc., we carry out our validations globally ourselves.

The completed validation report consists of a summary, the actual validation report and a detailed report. The entire validation report is made available to you in the protected customer area on the digital platform of Validato AG, where you can also download and print it.

You can determine how long you want us to keep the data of a validation. For legal reasons, however, we are obliged to delete the data of a validation no later than 120 days after the validation report has been drawn up. For statistical purposes, a few anonymised data concerning the candidates/employees are stored, which, however, do not allow any conclusions to be drawn about them.

Validato Ltd.'s certification according to the ISO 27001 standard guarantees the highest level of care in the structure and handling of the processed data and our digital platform. We also comply with Swiss and (where applicable) EU data protection regulations.

We keep our data highly encrypted in Switzerland, complying with Swiss and EU data protection law and ensuring minimal data exchange with third parties in connection with the validations.
